Managing Clients on Mobile

Learn how to manage your business on-the-go with the ClientFlow mobile app. Access client information, schedule appointments, and track payments from anywhere.

Getting Started

Download the App

  • iOS: Search "ClientFlow" in the App Store
  • Android: Search "ClientFlow" in Google Play Store
  • Tablet: Optimized for iPad and Android tablets

Sign In

  1. Open the ClientFlow app
  2. Enter your email and password
  3. Enable biometric login (Touch ID/Face ID) for quick access
  4. Allow notifications to stay updated
Pro Tip: Enable "Stay Signed In" for instant access. Your data is encrypted and secure even with this feature enabled.

Dashboard Overview

The mobile dashboard shows:

  • Today's Appointments: Upcoming sessions with countdown timers
  • Unpaid Payments: Quick view of outstanding balances
  • Recent Activity: Latest client interactions
  • Quick Actions: Fast access to common tasks

Swipe left/right to navigate between sections.

Managing Clients

View Client List

  1. Tap Clients in the bottom navigation
  2. Scroll through your client list
  3. Use the search bar to find specific clients
  4. Filter by tags, status, or payment status

Quick Actions

Long-press a client to see quick actions:

  • Call: Instant phone call
  • Message: Send WhatsApp or SMS
  • Email: Open email app
  • Schedule: Book next appointment
  • Add Payment: Record a new payment

Appointments on Mobile

Create Appointment

  1. Tap the + button (bottom right)
  2. Select "New Appointment"
  3. Choose client, date, and time
  4. Add details and notes
  5. Tap "Create"

The appointment syncs immediately across all devices!

Calendar Views

  • Day: Hourly schedule with timeline
  • Week: 7-day overview (swipe horizontally)
  • List: Chronological list of all appointments

Payments on the Go

Record Payments

  1. Tap Payments in the bottom navigation
  2. Tap the + button
  3. Select client and enter amount
  4. Choose payment method
  5. Add any notes
  6. Tap "Save"
Pro Tip: Use "Quick Pay" to record cash payments in seconds. Just tap the client, then the money icon.

Mark as Paid

  1. Find the unpaid payment
  2. Swipe left on the payment row
  3. Tap the green checkmark
  4. Confirm payment date

Session Notes

Add Quick Notes

  1. Open the client profile
  2. Tap "Notes" tab
  3. Tap the + button
  4. Write your session notes
  5. Use voice-to-text for faster entry
  6. Tap "Save"
Pro Tip: Use the Apple Watch or Android Wear app to dictate session notes hands-free immediately after appointments.

Offline Mode

What Works Offline

  • View existing clients and their information
  • Read previous notes and payment history
  • Create new notes (sync when online)
  • View upcoming appointments
  • Mark payments as paid

When you reconnect, all offline changes sync automatically!

Notifications

Appointment Notifications

  • 1 hour before: "Appointment with Sarah in 1 hour"
  • 15 minutes before: "Sarah's session starts in 15 minutes"
  • No-show alert: "Sarah didn't check in"

Payment Notifications

  • Payment received: "Payment of $100 from John marked as paid"
  • Overdue payment: "3 payments are now overdue"
  • Reminder sent: "Reminder sent to Sarah for $50 payment"

Widgets

Add widgets to your home screen:

  • Today's Schedule Widget: Shows next 3 appointments with countdown
  • Payment Summary Widget: Unpaid balance and this week's revenue
  • Quick Actions Widget: Add Client, New Appointment, Record Payment

Security Best Practices

  • Enable biometric login
  • Set auto-lock after 5 minutes of inactivity
  • Enable "Hide Preview" for notifications
  • Log out on shared devices
  • Enable two-factor authentication
