Bulk Client Operations

Save hours with mass actions. Managing 50+ clients one-by-one is time-consuming. Bulk operations let you update tags, send payments, schedule appointments, and more for dozens of clients simultaneously.

Introduction

This guide teaches you how to efficiently select multiple clients and perform actions on them all at once, saving 5-10 hours per week on administrative tasks.

Client Selection Methods

Manual Selection

1. Go to Clients page
2. Check boxes next to client names
3. Selected count shows at top: "15 clients selected"

Keyboard Shortcuts

• Cmd/Ctrl + Click: Select individual clients
• Shift + Click: Select range (first client → last client)
• Cmd/Ctrl + A: Select all visible clients

Filter Then Select All

1. Apply filters (tags, status, etc.)
2. Click "Select All" → Selects all filtered clients

Bulk Update Operations

Bulk Update Tags

1. Select clients (e.g., all new signups this week)
2. Bulk Actions → "Add Tags"
3. Enter tags: "New Client 2024", "January Cohort"
4. Click "Apply to 12 Clients"

Bulk Update Custom Fields

1. Filter clients (e.g., Tag = "Yoga Studio")
2. Select all (35 clients)
3. Bulk Actions → "Update Custom Field"
4. Choose field and set value
5. Apply

All clients updated in 10 seconds instead of 10 minutes!

Bulk Payment Operations

Create Payments for Multiple Clients

1. Filter: Tag = "Monthly Member" AND Status = "Active"
2. Select all (85 clients)
3. Bulk Actions → "Create Payment"
4. Configure: Amount, Currency, Due Date, Description
5. Preview: "Create 85 payments totaling $8,500"
6. Confirm

85 payments created in 30 seconds instead of 2+ hours!

Bulk Communication

Send Mass Emails

1. Select all active clients (150)
2. Bulk Actions → "Send Email"
3. Choose template or compose custom
4. Preview and schedule or send immediately

Undo Bulk Operations

Most bulk operations can be undone within 24 hours:

1. Dashboard → "Recent Activities"
2. Find bulk operation
3. Click "Undo"
4. Confirm

What Can Be Undone

• Tag additions/removals (within 24 hours)
• Custom field updates (within 24 hours)
• Status changes (within 7 days)
• Soft deletes/archives (anytime - just restore)

What CANNOT Be Undone

• Permanent deletes (gone forever!)
• Sent emails/WhatsApp (already delivered)
