Mental Health & Therapy

How psychologists, therapists, and coaches use ClientFlow to manage sessions, client notes and payments.

Client Management for Psychologists, Therapists, and Coaches

Industry Challenges

Challenge Impact
Secure client documentation Sensitive notes in the wrong place
Informed consent management Consent that is hard to find later
Session continuity Forgetting where you left off
Payment tracking (self-pay, sliding scale) Unpaid sessions slip through
Maintaining therapeutic boundaries Mixing personal and business

How ClientFlow Handles Them

1. Encrypted Session Notes

Note titles and content are encrypted at rest with AES-256-GCM and stay searchable. A note is either private (only the person who wrote it can see it, the account owner included) or visible to the team. The application and database are hosted in Germany (EU). Uploaded files are stored with Cloudflare; the sub-processor register lists where. Intake answers and custom fields are not field-encrypted.

US practitioners: ClientFlow is not HIPAA-certified and does not sign Business Associate Agreements. If you are a HIPAA-covered entity, do not store Protected Health Information here without your own legal and compliance review.

2. Intake and Consent Forms (Starter and up)

Build intake forms with consent checkboxes and a signature field for informed consent, privacy policies, and treatment agreements. A ready Therapy Client Intake template covers reasons for seeking therapy, mental health history, current medications and a safety assessment. On PRO and Team you can switch on AI triage for each form, which gives every new submission an AI summary, urgency level and possible red flags. It is off by default for health professions, answers in fields you flag as special-category are never sent, and the answers that are sent go to an AI provider outside the EU.

3. Session Notes from Your Own Templates

Save your own note templates (SOAP, DAP or any structure you use) and start each session note from one. Review the last session before each appointment. The AI note helper turns a note into key points, tags and a suggested next step when you ask it to, using your plan's monthly AI credits; nothing is saved until you apply it.

4. Payment Records

Set the fee on each appointment, record payments in full or in part, and set up a recurring payment record for clients you see weekly. ClientFlow records payments; it does not process them, bill insurers, or sell prepaid session packages.

5. Professional Boundaries

Keep client management separate from personal tools. On PRO and Team, you connect your own WhatsApp Business number and answer clients from the WhatsApp inbox in ClientFlow instead of your personal phone.

Recommended Tier

Practice Size Recommended Tier Why
Solo practitioner Starter Unlimited clients, intake and consent forms, 5 GB storage
Busy practitioner PRO Programs, automatic WhatsApp reminders from your own number, advanced analytics, 50 GB storage
Group practice Team 3 seats included (up to 53), roles and permissions, team activity log

Privacy in Practice

  • Private notes - A private note is visible only to the person who wrote it
  • When AI runs - The note helper runs when you press it; intake triage (PRO and Team) is off by default for health professions and runs on each submission once you switch it on for a form. The AI providers are in the US; phone numbers, emails and ID numbers are redacted, but names and the rest of the text are not, and intake triage withholds the answers in fields you flag as special-category
  • Named sub-processors - Every service that handles your data is listed on the sub-processors page
  • Client portal - Clients sign in with an emailed link to see and cancel their appointments, view their invoices, and fill in forms. The portal has no messaging; it shows the files you choose to share, but never notes
  • Export anytime - Download all your data from Settings

Limits Worth Knowing

  • Not an electronic health record, and not HIPAA-certified
  • No insurance billing and no prepaid session packages
  • Outcome charts (such as GAD-7 or PHQ-9 scores) need a program on PRO or Team; on Free and Starter, record scores in notes
  • No video sessions; share your own meeting link
  • Intake answers and custom fields are not field-encrypted
  • In a Team, every seat sees every client
