Student Management for Tutors, Music Teachers, and Educational Coaches

Industry Challenges

Challenge Impact
Tracking student progress Can't show parents what has changed
Managing multiple subjects/levels Mixed-up lesson plans
Collecting tuition payments Awkward conversations with parents
Scheduling around school hours Double-bookings, timezone issues
Communicating with parents Lost messages, missed updates

How ClientFlow Handles Them

1. Progress You Can Show Parents

Record test scores and skill notes after each lesson. On PRO and Team, enrol a student in a program with a lesson count and milestones: completed lessons count automatically, and you can send parents a read-only progress link that shows the student's first name, lessons done, milestones and any measurements you have logged.

2. Organized Student Notes

Record what you covered, what's assigned, and where each student left off. Picking a teaching profession during setup adds Lesson Plan and Progress Assessment note templates, and you can save your own.

3. Payment Records and Reminders

Set up a recurring monthly payment record for each student and mark it paid when the money arrives. If you invoice instead, overdue invoices get email reminders 3, 7, 14 and 30 days after the due date, on every plan; overdue payment records are followed up by the payment-reminder automation (Starter and up). You can also send a reminder yourself: by email on every plan, or by WhatsApp. On Free and Starter, ClientFlow prepares the WhatsApp message and you send it with one tap; on PRO and Team it goes out from your own WhatsApp Business number. ClientFlow records payments; parents pay you the way they do today.

4. Scheduling

Book recurring lessons (daily, weekly or monthly), cancel or reschedule them, and share an online booking page that shows your open times on every plan.

5. Parent Communication

Put the parent's email and phone on the student's record, and lesson reminders and invoices go to them. A monthly report can be written as a note, copied, and sent by email or WhatsApp.

Recommended Tier

Tutoring Size Recommended Tier Why
Part-time tutor (up to 10 students) Free/Starter Free covers up to 10 students; Starter adds intake forms
Full-time tutor (10-25 students) Starter Unlimited students, intake forms, CSV import, basic analytics
Busy tutor (25+ students) PRO Programs, automatic WhatsApp reminders from your own number, advanced analytics
Tutoring center (multiple tutors) Team 3 seats included (up to 53), roles and permissions, shared student records

Limits Worth Knowing

  • No prepaid lesson packages; a program counts lessons but holds no balance
  • Score and grade charts need a program on PRO or Team, where you log a measurement series that the parent link also shows; on Free and Starter, record them in notes
  • Notes are not shared with parents automatically; the client portal does not show notes
  • No group classes or waiting lists
  • In a Team, every tutor sees every student; each lesson can be assigned to a team member (by default whoever books it), and the calendar can be filtered per person
  • ClientFlow records payments; it does not take them
