Client Management for Consultants, Coaches, and Professional Advisors

Industry Challenges

Challenge Impact
Tracking retainer payments Revenue leakage, cash flow issues
Managing multiple client engagements Missed deliverables
Documenting meetings and decisions Liability exposure
Following up on proposals Lost opportunities
Maintaining professional relationships Client churn

How ClientFlow Handles Them

1. Retainer & Project Payment Tracking

Set up a monthly retainer as a recurring payment, which creates the next unpaid record on schedule, and record milestone payments and project fees with their due dates. Recurring invoices are generated as drafts for you to review and send. Overdue invoices get email reminders 3, 7, 14 and 30 days after the due date. ClientFlow records payments; clients do not pay through it.

2. Engagement Management

Set up a fixed engagement, such as a 3-month coaching block, as a Program with a session count and milestones (PRO and Team). Track deliverables as tasks linked to the client, and log time against a task with a timer or by hand. Logged time is not turned into invoices, and there is no retainer-hours balance.

3. Meeting Documentation

Log meeting notes, decisions made, and action items. Note titles and content are encrypted at rest with AES-256-GCM and stay searchable.

4. Professional Follow-Up

Send estimates as a PDF or a link; the client can accept or decline online, and you can turn an accepted estimate into an invoice. On PRO and Team, the lead pipeline (New, Contacted, Qualified, Won, Lost) keeps prospects apart from clients until they convert.

5. Client Portfolio Overview

See every client's appointments, notes, tasks, payments and files on one page. Starter shows monthly revenue trends and each client's payment record; PRO adds client health scores based on payment behavior, and a revenue forecast.

  • No prepaid packages with a session balance
  • Clients cannot pay you through ClientFlow; you record payments taken by bank transfer or card terminal
  • Custom fields and file uploads are not field-encrypted by ClientFlow; files are encrypted at rest by our storage provider
  • No e-signature workflow: an estimate is accepted with a click, and a form can carry a signature field
  • No e-invoicing submission to tax authorities (such as Turkey's e-fatura/e-arşiv)
