How ClientFlow Handles Them

1. Payment Tracking Made Simple

Every payment carries a status: unpaid, partial, paid or overdue. A monthly membership fee can be set up as a recurring payment, which creates the next unpaid record on schedule. ClientFlow records payments; clients do not pay through it.

2. Client Notes That Travel With You

Record injuries, preferences, and progress, starting from ready templates such as Workout Log, Weekly Progress Check and Goal Review. The web app works in your phone's browser, and the iOS app is available outside the EU.

3. Session Blocks with Programs (PRO and Team)

Set up a block of sessions, such as a 10-session strength intro, as a Program with a session count and milestones. Completed appointments linked to it count automatically. Prepaid packages with a balance, and "monthly unlimited" passes, are not supported yet.

4. Automated Reminders

Each appointment gets one reminder, from 5 minutes to 1 day before: by email on every plan, and by WhatsApp from your own number on PRO and Team. On Free and Starter, ClientFlow prepares the WhatsApp message and you send it with one tap. Once a payment is overdue, the payment-reminder automation (Starter and up) sends a reminder 3 and 7 days after the due date and flags the payment on day 14.

5. Analytics That Drive Growth

Starter shows monthly revenue trends and each client's payment record, such as on-time rate and average days to pay. PRO adds churn analysis, client health scores and a revenue forecast.

Limits Worth Knowing

  • No prepaid session packages or class passes with a balance
  • No group classes: each appointment is for one client, with no class capacity or waitlist
  • Clients cannot pay you through ClientFlow; you record payments taken in person or by bank transfer
  • No body-measurement or strength charts; record numbers in notes
  • On Team, appointments created in the dashboard are not assigned to a trainer, and there is no per-trainer calendar
