Client Management for Hair Stylists, Estheticians, and Beauty Professionals

Industry Challenges

ChallengeImpact
Remembering client preferencesWrong color formulas, disappointed clients
Tracking product sensitivitiesAllergic reactions, liability issues
Managing appointment cyclesOverbooking or empty chairs
Following up on treatmentsMissed upsell opportunities
Building client loyaltyHigh competition, client churn

How ClientFlow Handles Them

1. Client Preference Memory

Record color formulas, preferred products, and service history in client notes. Picking a beauty profession adds ready note templates, including a Service & Formula Sheet and Allergy & Preference Notes. Note titles and content are encrypted at rest with AES-256-GCM and stay searchable.

2. Allergy & Sensitivity Tracking

Document product reactions and sensitivities in notes or custom fields, so they are in front of you before the next service.

3. Rebooking Reminders

Clients book themselves through your online booking page on every plan. Each appointment gets one reminder, by email on every plan and by WhatsApp from your own number on PRO and Team. The dashboard lists clients who are overdue for their next visit, and on PRO and Team the rebooking-nudge automation can message them for you, optionally with your booking link.

4. Treatment Series (PRO and Team)

Set up a treatment series as a Program with a session count and milestones, such as a 6-week facial series. Completed appointments linked to the program count automatically. Prepaid packages, with a balance that is used up session by session, are not supported yet.

5. Before/After Documentation

Attach photos to the client's record; every file is virus-scanned on upload. Storage depends on the plan: 100 MB on Free, 5 GB on Starter, 50 GB on PRO.

Marketing Integration

Client Groups for Follow-Ups

  • Clients you have not seen in 3+ months (filter by days since last visit)
  • VIP/Regular clients (groups and tags)
  • Treatment series candidates (tags)

ClientFlow does not send bulk promotions or newsletters; you message clients one by one.

Automations (PRO and Team)

  • Rebooking nudge for clients past their usual cycle
  • Birthday message
  • Review request once a client reaches a set number of visits (with the review link you add)

Each one sends a message you can edit (the default text is in English), such as "Time for your trim?"

Limits Worth Knowing

  • No prepaid packages with a session balance (a monthly membership fee can be set up as a recurring payment)
  • No campaigns, newsletters or bulk promotional messages
  • Clients cannot pay you through ClientFlow; you record payments taken in the salon
  • On Team, appointments created in the dashboard are not assigned to a staff member, and there is no per-stylist calendar
  • Retail stock (inventory) is on paid Starter plans and up, not during a trial

Get Started

  1. Sign up at clientflow.center
  2. Import existing clients via CSV (Starter and up)
  3. Add your first client notes (color formulas, preferences)
  4. Upload before/after photos to client records
  5. Turn on appointment reminders and share your booking link
