Organizing Clients with Tags
Learn how to use tags to organize clients, filter your list, and streamline your workflow. Tags help you categorize clients by location, service type, status, or any custom criteria.
Introduction
Tags are powerful organizational tools that let you group clients beyond basic filters. Whether you're managing 5 or 500 clients, tags keep everything organized and searchable.
Step 1: Understanding Tags
Tags are labels you assign to clients for easy categorization and filtering.
Common Tag Uses
- Service Type:
yoga,nutrition,pt-sessions,massage - Location:
downtown-studio,mobile-client,online-only - Status:
vip,new-client,on-hold,returning - Payment:
monthly-plan,pay-as-you-go,corporate-account - Program:
weight-loss,injury-recovery,competition-prep
Pro Tip: Start with 3-5 broad tags, then add more specific ones as needed. Too many tags upfront makes the system overwhelming.
Step 2: Create Your First Tag
- Go to Settings → Tags
- Click "Create Tag"
- Enter tag details: Name, Color, Description (optional)
- Click "Save"
Pro Tip: Use color coding strategically. Green for active clients, Red for on-hold, Blue for VIP.
Step 3: Assign Tags to Clients
During Client Creation
- When adding a new client
- Scroll to the "Tags" field
- Select from existing tags or create new ones
- Save the client
Bulk Tagging
Assign tags to multiple clients at once:
- Go to Clients list
- Select multiple clients (checkboxes)
- Click "Bulk Actions" → "Add Tags"
- Choose tags to apply
- Click "Apply"
Step 4: Filter Clients by Tags
Single Tag Filter
- Go to Clients page
- Click the "Filter" button
- Select "Tags" filter
- Choose a tag
- Client list updates to show only tagged clients
Multiple Tag Filter
- "AND" logic: Show clients with ALL selected tags
- "OR" logic: Show clients with ANY selected tags
Best Practices
- Keep Tags Simple - Short, descriptive names work best
- Use Consistent Naming - Decide on a convention (lowercase, hyphens)
- Review Regularly - Archive or merge unused tags
- Color Code - Use colors consistently across your practice
