Keeping Professional Client Notes

Learn how to document sessions, track progress, and maintain professional notes for your clients. Good note-taking improves service quality and protects your business.

Introduction

Client notes help you remember important details, track progress over time, and provide better service. They're also crucial for legal protection and professional accountability.

Step 1: Access Client Notes

  1. Go to Clients in the sidebar
  2. Click on a client name to open their profile
  3. Navigate to the Notes tab
  4. You'll see all previous notes in chronological order
Pro Tip: You can also add quick notes directly from the client list by clicking the note icon next to each client.

Step 2: Create a New Note

To add a note:

  1. Click the "Add Note" button
  2. Enter your note in the text editor
  3. Add a session date (defaults to today)
  4. Optionally mark as "Private" (only you can see it)
  5. Click "Save Note"
Pro Tip: Use markdown formatting in notes for better organization: bold, italic, bullet lists, etc.

Step 3: Organize Notes with Tags

Tag your notes for easy searching:

  • #session - Regular session notes
  • #progress - Milestone or progress updates
  • #billing - Payment or invoicing notes
  • #medical - Health-related information (HIPAA compliant)
  • #goal - Client goals and objectives

Type # in the note to see suggested tags.

Subjective: What the client reported
Objective: What you observed
Assessment: Your professional assessment
Plan: Next steps and recommendations

2. Session Format (for coaches/trainers)

Privacy and Security

HIPAA Compliance (Health Professionals)

  • Mark sensitive notes as "Private"
  • Enable two-factor authentication (Settings → Security)
  • Use encrypted client file uploads for medical records
  • Export notes securely for backup (PRO tier)

GDPR Compliance (EU Clients)

  • Notes are automatically encrypted at rest
  • Clients can request note exports (Settings → GDPR)
  • Notes are soft-deleted for 30 days before permanent removal
  • Audit trail tracks all note access
Pro Tip: Never include credit card numbers, social security numbers, or highly sensitive data in notes. Use the secure file upload feature instead.

Searching and Filtering Notes

Find notes quickly:

  1. Use the search box at the top of the Notes tab
  2. Search by keywords, tags, or date ranges
  3. Filter by note type (Session, Progress, Billing, etc.)
  4. Sort by date (newest first or oldest first)
Pro Tip: Use the global search (Cmd+K or Ctrl+K) to find notes across all clients.

Exporting Notes

Export client notes for legal documentation, insurance claims, client progress reports, or backup and archiving:

  1. Open the client profile
  2. Go to Notes tab
  3. Click "Export Notes"
  4. Choose format: PDF, CSV, or JSON
  5. Select date range
  6. Click "Download"

Quick Templates

Save time with pre-written templates:

  1. Go to SettingsTemplates
  2. Create note templates for common scenarios
  3. Insert templates when creating new notes
  4. Customize with client-specific details

Keyboard Shortcuts

  • Cmd+N / Ctrl+N: New note
  • Cmd+S / Ctrl+S: Save note
  • Cmd+F / Ctrl+F: Search notes
  • Esc: Close note editor
