Exporting Reports and Data

Learn how to export your client data, payments, and reports for accounting, tax filing, or external analysis.

Introduction

Exporting data from ClientFlow lets you use external tools (Excel, Google Sheets, accounting software) for custom analysis, tax preparation, or client communication. All exports maintain data integrity and comply with privacy regulations.

Understanding Export Types

Pro Tip: Export clients and payments monthly for backup purposes, even if you don't need the data immediately.

Step 1: Export Client List

  1. Go to Clients in the sidebar
  2. Click the "Export" button (top right)
  3. Choose export options: Format (CSV/Excel), Include Fields, Date Range
  4. Click "Download Export"

Included Fields

  • Full name, email address, phone number
  • Created date, status (active/inactive)
  • Tags, total payments, outstanding balance

Step 2: Export Payment Data

  1. Go to PaymentsHistory
  2. Apply filters (date range, status, client)
  3. Click "Export"
  4. Choose format (CSV or Excel)
  5. Download

Payment Report Contains

  • Transaction ID, client name, amount, currency
  • Status, due date, paid date
  • Payment method, notes

Step 3: Export Appointments

  1. Go to Appointments
  2. Click "Export"
  3. Select date range and format
  4. Choose ICS (calendar) or CSV (spreadsheet)
  5. Download

Scheduled Reports (PRO)

Set up automatic exports:

  1. Go to SettingsScheduled Reports
  2. Click "Create Schedule"
  3. Configure: Report type, frequency (weekly/monthly), delivery email
  4. Save schedule

Reports are emailed automatically on your chosen schedule!

Best Practices

  1. Regular Backups - Export monthly for data safety
  2. Password-Protect Exports - Add password to sensitive files
  3. Delete Old Exports - Don't leave sensitive data in Downloads
  4. Use Templates - Create saved export templates for recurring needs
