Managing Clients on Mobile

6 min read

Learn how to manage your business on-the-go with ClientFlow. Access client information, schedule appointments, and track payments from anywhere — from your phone's browser, installed to the home screen.

Getting Started

Install ClientFlow on Your Phone

ClientFlow runs in your phone's browser and installs to the home screen, and there is a native iOS app on the App Store (not yet available in EU countries). The Android app is still in development and is not yet published to Google Play, so on Android the browser install is the way to use ClientFlow.

  • iOS: open clientflow.center in Safari, tap Share, then Add to Home Screen
  • Android: open clientflow.center in Chrome, open the menu, then tap Install app
  • Tablet: the same page works in the browser on iPad and Android tablets

  1. Open ClientFlow from your home screen
  2. Enter your email and password
  3. Allow notifications to stay updated
Pro Tip: Enable "Stay Signed In" for instant access. Your data is encrypted and secure even with this feature enabled.

Dashboard Overview

The mobile dashboard shows:

  • Today's Appointments: Upcoming sessions with countdown timers
  • Unpaid Payments: Quick view of outstanding balances
  • Recent Activity: Latest client interactions
  • Quick Actions: Fast access to common tasks

Swipe left/right to navigate between sections.

Payments on the Go

Record Payments

  1. Tap Payments in the bottom navigation
  2. Tap the + button
  3. Select client and enter amount
  4. Choose payment method
  5. Add any notes
  6. Tap "Save"
Pro Tip: Use "Quick Pay" to record cash payments in seconds. Just tap the client, then the money icon.

Mark as Paid

  1. Find the unpaid payment
  2. Swipe left on the payment row
  3. Tap the green checkmark
  4. Confirm payment date

Session Notes

Add Quick Notes

  1. Open the client profile
  2. Tap "Notes" tab
  3. Tap the + button
  4. Write your session notes
  5. Use voice-to-text for faster entry
  6. Tap "Save"
Pro Tip: Write the note before you leave, not at the end of the day. Your phone keyboard's dictation key fills it in faster than typing.

Working With a Poor Connection

ClientFlow needs an internet connection. There is no offline mode: pages will not load without one, and anything you enter while the connection is down is not queued and will not sync later — you will see an error and will need to enter it again once you are back online.

If you work somewhere with patchy signal, save each client, payment or note the moment you have a bar of signal rather than leaving them all to the end of the day.

Notifications

Appointment Notifications

  • 1 hour before: "Appointment with Sarah in 1 hour"
  • 15 minutes before: "Sarah's session starts in 15 minutes"
  • No-show alert: "Sarah didn't check in"

Payment Notifications

  • Payment received: "Payment of $100 from John marked as paid"
  • Overdue payment: "3 payments are now overdue"
  • Reminder sent: "Reminder sent to Sarah for $50 payment"

Home Screen Widgets

Home screen widgets are part of the native apps that are still in development, so there are none to add today. Installing ClientFlow to your home screen gives you the icon and a full-screen window; the schedule and unpaid balance live on the dashboard behind it.

Security Best Practices

  • Enable two-factor authentication in Settings → Security
  • Log out on shared devices
  • Use your phone's own screen lock — ClientFlow has no separate app lock
  • Review recent sign-ins in Settings → Security

Next Steps

Master mobile management to:

  • Work from anywhere - Beach, gym, client location
  • Respond faster - Instant access to client information
  • Save time - Quick actions for common tasks
  • Never miss appointments - Real-time notifications

Your business is now in your pocket!
