Settings & Preferences
Applies to: All plans · Last reviewed: October 2026
Customize ClientFlow to fit your business perfectly. This guide covers the main settings sections — from your personal profile to security options.
Profile Settings
Your profile settings control your personal information and how you appear in the system.
Personal Information
Navigate to Settings → Account to update:
- Full name — Your name as displayed in the system and on emails
- Email address — Your login email (changing it means confirming the new address by email)
- Profile photo — Your avatar
- Time zone — Critical for appointment scheduling and notifications
Password Management
Change your password at Settings → Security & Privacy. Requirements:
- Minimum 8 characters
- At least one uppercase letter
- At least one lowercase letter
- At least one number
- At least one special character
After you change your password, all active sessions are signed out for security, so you sign in again on each device. ClientFlow also emails you a security notification.
Business Settings
Configure your business identity and operational preferences.
Business Profile
Your business details are spread over a few settings screens:
- Settings → Branding — Your brand color, and a custom logo on the Team plan, used on invoices and emails
- Settings → Tax Settings — Your tax registration number, default tax rate and tax type
- Settings → Invoicing — The payment instructions shown on your invoices' online pages
- Settings → Booking Page — The public page your clients use to book appointments
Working Hours
Set your regular working hours at Settings → Availability. They determine the time slots clients can book.
Configure different hours for each day of the week, or set certain days as days off. You can also add exceptions — time off, holidays or extra working hours — that override your regular schedule.
Currency Settings
Choose your primary currency at Settings → Account. ClientFlow supports 23 currencies, including TRY, USD, EUR and GBP. When you change it, ClientFlow shows an impact analysis before you save.
Service Catalog
Manage your services at Settings → Appointment Types. For each service, configure:
- Service name and description
- Duration (in minutes)
- Price
- Color (for calendar display)
- Buffer time (kept free between this service and your other appointments)
- Whether the service is bookable online
Notification Preferences
Control how and when you receive notifications.
Notification Channels
For each type of event, switch delivery channels on or off at Settings → Notifications:
| Channel | Description | Can Disable |
|---|---|---|
| In-App | Notification bell in dashboard | Yes |
| Push | Browser/device push notification | Yes |
| Email to your registered address | Yes | |
| WhatsApp message (Pro and above, from your own connected WhatsApp Business number) | Yes |
Client Notification Defaults
Messages to your clients are not configured on this screen:
- Appointment reminders — Each appointment gets one reminder, set as a number of minutes before it starts (from 5 minutes to 1 day)
- Automated messages — Booking confirmations, rebooking nudges, birthday messages and the other ready-made automations are switched on and edited at Dashboard → Automations
- Overdue invoices — Reminders go out automatically 3, 7, 14 and 30 days after the due date
Quiet Hours Configuration
Pause non-urgent notifications during off-hours. Set the start time, the end time and the days quiet hours apply to; they follow your time zone.
Display & Theme
Customize the visual appearance of your ClientFlow dashboard at Settings → Appearance.
Theme Options
- Light mode — Clean, bright interface
- Dark mode — Darker colors, easier on the eyes in low light
- System — Automatically match your operating system's theme setting
Dashboard Layout
Choose which widgets appear on your main dashboard and drag them into the order you like. Available widgets include:
- Daily stats
- Quick insights
- Today's schedule
- Needs attention
- Tasks overview
- Quick actions
- Monthly expenses
- Inventory overview
- Smart insights
Time and Number Format
Configure how times and numbers are displayed:
- Time format — 12-hour (AM/PM) or 24-hour
- Number format — 1,234.56, 1.234,56 or 1 234,56
- Table density — Compact, standard or comfortable row spacing
Dates and the first day of the week follow your interface language. You can also choose an accent color and accessibility options (font size, reduced motion, high contrast) on the same screen.
Language
ClientFlow supports 20 languages. Change your interface language at Settings → Account.
Supported Languages
English, British English, Turkish, German, Spanish, French, Italian, Portuguese, Dutch, Polish, Russian, Ukrainian, Arabic, Hindi, Japanese, Korean, Chinese (Simplified and Traditional), Finnish and Swedish.
Language Behavior
- The interface language changes as soon as you save your new language
- Client-facing communications (emails, reminders) can be sent in the client's preferred language
- Column headers in Records exports follow your dashboard language
- The URL path includes the locale code (e.g.,
/en/dashboard,/tr/dashboard)
Security (2FA)
Protect your account with two-factor authentication and other security settings.
Two-Factor Authentication
Enable 2FA at Settings → Security & Privacy, under Two-Factor Authentication:
- Click Enable 2FA
- Scan the QR code with an authenticator app (Google Authenticator, Authy, etc.)
- Enter the 6-digit verification code from the app
- Save your backup codes in a secure location
- 2FA is now active — you will be asked for a code when you sign in. A device you mark as trusted can skip the code for 30 days
Active Sessions
View and manage all active login sessions at Settings → Security & Privacy, under Active Sessions. Each session shows the device, location and last activity time. You can revoke individual sessions or revoke all other sessions at once.
Login History
Review your security activity to detect unauthorized access. The log lists recent security events — such as password changes, 2FA changes and revoked sessions — with the time, IP address and location. ClientFlow emails you when it sees a login from a new device or an unusual location.
Account Deletion
How deleting your account works depends on where you do it:
- On the website, at Settings → Danger Zone: you confirm the request by email, and a 30-day grace period begins. You can cancel at any time during it and keep everything. Within a day after it ends, your subscription is cancelled and your account and business data — client records, appointments, notes, files and invoices — are permanently erased.
- In the iOS app: deletion takes effect immediately and cannot be cancelled or undone. You are signed out everywhere, your subscription is cancelled, and your business data is erased within 3 days. Appointments already synced to your Google Calendar stay in that calendar.
Either way, a few records are kept, as the Privacy Policy explains — such as anonymised records of what you paid us, security audit logs and consent records — and encrypted backups rotate out within 90 days. To keep a copy of your data, use Export Your Data on the same settings page before you delete.
API Access
ClientFlow does not offer a public API or API keys for building your own integrations, and there is no Zapier or Make connector. On the Team plan, webhooks can send events such as a new client, a payment or an overdue payment to a web address you set (Dashboard → Team → Webhooks).
