The Language Tutor's Three-Axis Problem
Language tutors juggle three dimensions simultaneously:
- Students — anywhere from 5 to 50, varying levels and goals
- Time zones — different cities, with daylight saving rules that don't sync
- Recurring lessons — most students lock in weekly or bi-weekly slots
Manage any one of these manually and you're fine. Manage all three with spreadsheets and scheduling errors creep in.

Time Zones: What ClientFlow Does and Doesn't Do
Your Calendar Runs in Your Time Zone
You plan in the time zone set for your business. If you open the calendar from a device set to another zone (while travelling, say), it tells you which zone the times are in.
Students Can Book in Their Own Time
On your online booking page, a student can switch the free slots between your time zone and their own. They pick a slot in the time they know; it lands in your calendar in yours.
Reminders State the Time in Your Time Zone
ClientFlow does not store a time zone for each student. The lesson time in a reminder is written in your time zone, without a zone label. The lesson title is included in the reminder, so a simple habit helps: put the zone in the title ("English B2 — Istanbul time").
On the Free and Starter plans, the one-tap WhatsApp message ClientFlow prepares for you is currently in English and shows the time in UTC; check it before you send.
Daylight Saving: The Weeks to Watch
In Europe, clocks change in late March and late October. In the US, on the second Sunday of March and the first Sunday of November. Turkey and most Asian countries don't change them at all.
A weekly series in ClientFlow keeps the same clock time for you across your own change: "Wednesday 18:00" stays 18:00 in your calendar. What ClientFlow does not do is adjust anything for the student. For a student whose country changes its clocks on a different date, or not at all, the lesson moves by an hour in their local time for those weeks. Send those students a short note before each change.
Recurring Lesson Setup
Most language tutors meet each student weekly or bi-weekly at fixed times. Set it up once:
- A weekly series on the days you choose — "every Tuesday and Thursday at 17:00" — until an end date or for a set number of lessons (up to 100 in one series)
- Daily, weekly, monthly or yearly repeats, with an interval such as every two weeks
- Change or cancel a single lesson, or edit the whole series
- Sync to Google Calendar or iCloud on the Starter plan and up
One limit to know: ClientFlow books one student per appointment and does not let two appointments overlap, so group lessons are not supported yet.
Payments in Several Currencies
Language tutors often work with students in:
- Their home country (single currency)
- A few neighboring countries (1-3 currencies)
- Globally (5+ currencies)
In ClientFlow, each payment record carries its own currency. Totals stay per currency on your dashboard, so €2,400 and $1,800 are never added together as if they were the same money. You can also set a monthly fee as a recurring payment: ClientFlow creates an unpaid record each month for you to mark as paid when the money arrives.
ClientFlow records payments; it does not process them. Students pay you by bank transfer, PayPal, Wise or cash as they do today, and you record it.
CEFR Level Tracking
European Common Framework levels (A1-C2) are the standard for language proficiency:
- A1 (Beginner)
- A2 (Elementary)
- B1 (Intermediate)
- B2 (Upper Intermediate)
- C1 (Advanced)
- C2 (Mastery)
ClientFlow has no built-in level field. Add a custom field for the current level, and note each change in that lesson's note: "Level: A2 → B1". Six months later you can scroll the student's notes and show them: "You started A2 in March, hit B1 in July, now solid B1+."
This is real motivation fuel. Students often forget how far they've come.
Lesson Notes and Materials
After each lesson, a short note on the student's record covers what matters:
- Textbook in use (with current chapter/page)
- New vocabulary
- Grammar topics covered
- Speaking practice topics
- Pronunciation focus areas
Notes are dated, taggable and searchable, so "What did we cover last month?" takes seconds to answer. Worksheets (PDF, Word, images) can be uploaded to the student's Files; ClientFlow keeps them for you but does not send them to the student. Audio and video files are not accepted.
Pricing Models for Language Tutors
Per-lesson pricing
Set a price on each lesson type. When you mark a lesson booked from your calendar as completed, ClientFlow opens an unpaid payment for that price. Lessons students book themselves on your booking page carry no price, so record those payments by hand.
Monthly subscription
"8 lessons a month for a fixed fee" — predictable income, encourages commitment. In ClientFlow this is a recurring monthly payment.
Lesson packages
"10 lessons paid upfront" — common on marketplaces, transferable to direct teaching. ClientFlow has no package balance: record the prepayment as a payment. On PRO and Team, a Program with a lesson count shows how many lessons are done and left.
Hybrid
Some students per-lesson (try-out), some on a monthly fee. Both are payment records in ClientFlow.
Marketplaces and ClientFlow Solve Different Problems
A marketplace is an acquisition channel. It puts you in front of students who have never heard of you, and it bundles scheduling, payment handling and public reviews into that reach. Check each marketplace's current commission terms directly — they set them and they change them.
ClientFlow is an operations tool. It has no marketplace and sends you no students; what it manages is the practice you already have — lessons, time zones, payments and reminders for the students who found you.
Because they do different jobs, many tutors run both:
- Marketplace for discovery, while you are still building a name
- ClientFlow for the students you hold directly, and for the ones who follow you off the marketplace
The shift usually begins once referrals and repeat students outgrow discovery as your main source of work — at that point the operational side is where your time goes.
Reducing No-Shows in Online Lessons
Online students can drop you with one click. Mitigations:
- A reminder before every lesson — ClientFlow sends one per lesson, from 5 minutes to 1 day before, by WhatsApp or email. Email reminders are automatic on every plan. On PRO and Team, WhatsApp reminders also go automatically from your own WhatsApp Business number, in the student's language when you have set it on their record; on Free and Starter you send the prepared WhatsApp message with one tap.
- A clear cancellation policy — for example 24 hours' notice. A student cancelling through the link in their booking confirmation can do so up to 24 hours before the lesson; inside that window the link refuses.
- Payment upfront — a paid month or paid block is harder to skip. ClientFlow records it; it does not collect it.
- Engagement between lessons — homework checks over WhatsApp keep the relationship warm.
Everything else is your policy.
What ClientFlow Doesn't Do Today
- Store a time zone for each student or convert reminders to it
- Create video links or host lessons
- Group lessons, class capacity or waitlists
- Lesson packages with a balance that counts down
- Take payments from students
- SMS reminders
Conclusion
Language tutoring is operationally complex precisely because it's geographically free. A scheduling tool takes the repeatable part — recurring lessons, notes, payments and reminders — off your desk, and time zones still need a little of your attention.
