Tailor ClientFlow to your business. Every business is unique. Custom fields let you capture industry-specific data beyond the default client profile fields.

Introduction

Track certifications, equipment preferences, medical history, fitness goals, or any data that matters to your business.

Pro Tip: Start with 3-5 essential fields. Add more over time as you identify gaps. Too many fields = cluttered forms and low completion rates.

Creating Custom Fields

  1. Settings → Custom Fields"Add Field"
  2. Configure field:
    • Name: "Fitness Goal" (user-facing label)
    • Type: Dropdown
    • Options: Weight Loss, Muscle Gain, General Fitness, etc.
    • Required: No (optional field)
  3. Click "Save Field"

Field Organization (Sections)

Group related fields into sections for better UX:

Example: Fitness Trainer Fields

  • Section 1 - Fitness Profile: Current Weight, Goal Weight, Height, Fitness Goal, Experience Level
  • Section 2 - Health Information: Medical Conditions, Injuries, Medications, Emergency Contact
  • Section 3 - Preferences: Preferred Session Time, Has Gym Membership, Available Equipment
Pro Tip: Limit sections to 3-4 fields each. Breaking up long forms increases completion rates by 25-40%.

Using Custom Fields in Intake Forms

  1. Settings → Intake Forms → Select form
  2. Click "Add Field""Custom Field"
  3. Select field from dropdown
  4. Configure Required vs Optional
  5. Save form

Client completes form → Custom field data automatically populates their profile!

Using Custom Fields in Automation

Trigger automations based on custom field values:

  • WHEN new client added AND Fitness Goal = "Weight Loss" THEN send "Weight Loss Welcome" email series
  • WHEN client has no appointments in 30 days AND Session Frequency = "Weekly" THEN send "We Miss You" reminder
